Microsoft Outlook is an application integrating some features to be function as personal assistance. The main and basis feature of Microsoft Outlook is messaging. Below is a common description of how this application runs.

In general, the menu in Microsoft outlook is different from the application of the other Office applications. Menu bar on Microsoft outlook consists of File, edit, view, go, tools, action, and help. Below the menu bar, there is toolbar consisting of New, Reply, Reply to all, and forward (for e-mail navigation). The toolbar menu depends on the navigation chosen which is located in the left-down position. This navigation menu consists of mail, calendar, contacts, and task. The navigation has its own menus. Any modification in the navigation will change the menu on the toolbar and window related to the navigation menu.

Starting Mailing on Microsoft Outlook

At the first operation of Microsoft Outlook, the setting for mailing will be required. To operate mailing on Microsoft Outlook, make sure that the server of POP ( Post Office Protocol ) or POP 3 ( POP the 3 version ) is a available. By POP, email can be downloaded to the client’s mail, such as Outlook. Commonly, POP is integrated into SMTP ( Simple mail transfer protocol ), which function is contradictive to POP, which is to send e-mail to other people.

Most of free email services do not provide POP/SMTP and can only assessed through webmail. Some others have provided the tool/software helping to operate POP though unofficially.

To operate mailing in a cost domain, usually the service of POP/SMTP is also provided. In the next example, the assumption of account mail is used to provide the service of POP/SMTP.

The Initial Setting of Microsoft Outlook

The initial setting of Microsoft Outlook is operated easily. The user only has to follow the wizard provided by the application. Below is the screen capture of this setting.

1. Outlook 2007 Startup

2. Email Account ( Yes )

3. Auto Account Setup [ at this stage, enter name, email account, and password (and its retyping in the above field)]

New Account Making on Microsoft Outlook

New account making on Microsoft Outlook is executed by TOOLS > ACCOUNT SETTINGS. Next, fill in name, email account, and password, then click next.

Manual setting can also be done by choosing option setting manual, as the following screen capture.

General Knowledge on Mailing

In the operation of mail client, usually the following general knowledge is required.

1. POP an SMTP

POP ( or POP 3 ) is a protocol for downloading email to mail client. POP3 is an acronym of POP version 3. POP default uses port 110. While SMTP is a protocol for sending email defaultly uses port 25. Commonly POP is integrated to SMTP.

2. The uses of New, Forward, Reply, and Reply to All

New => is used to compose new mail.

Forward => is used to continue the sending of mail received to other people.

Reply => is used to answer or reply email to the sender.

Reply to All => is used to reply or answer email to the sender and the other people receiving the email.

Draft => unfinished email making. It can be continued next time.

Send Item => Sent email which copy is saved into.
